Letting go is easier said than done, especially when your business is your baby. But the truth is, if you wanna scale your coaching empire, delegation isn’t only a nice-to-have - it’s essential. 

The most successful coaches know this and they’ve mastered the art of bringing in their kickass team.

How to go about letting go

Here’s why letting go is a must and how to do it like a rockstar without sacrificing quality or control.

Why letting go feels so hard

Letting go often triggers some classic fears:

  • “No one can do it as well as I can”
    You’ve built your biz with your blood, sweat, and tears, so it’s hard to trust someone else to match your standards.
  • “It’s faster if I just do it myself”
    Spoiler: This mindset is a straight road to burn out.
  • “What if they mess it up?”
    Mistakes are part of the process but, with the right systems, they’re fixable.

Recognising these thoughts? Great! Awareness is the first step to moving past them.

The ripple effect of letting go

When you delegate effectively, it’s not just about freeing up time—it’s about creating space. Space to:

  • Focus on your genius zone (coaching, strategising, creating)
  • Scale your business without drowning in admin
  • Grow a rockstar team that supports your vision

Letting go empowers your team and gives you the headspace to think like a CEO, not just a solopreneur.

What rockstar coaches delegate

Not everything on your plate requires your drum solo. Here’s some tasks you can pass to your crew:

  • Admin: Calendar management, inbox triage, and client scheduling
  • Tech & systems: Funnel set ups, CRM updates, and automations
  • Content creation: Blog posts, social media graphics, and email campaigns
  • Client support: Onboarding, FAQs, and follow-ups

Letting go without losing sleep

  1. Start small
    You don’t need to delegate half your business overnight. Pick one recurring task that drains your energy and start there.
  2. Document everything
    A clear process is the backbone of successful delegation. Use tools like Loom to record walkthroughs or create step-by-step SOPs (Standard Operating Procedures).
  3. Hire smart
    When you bring someone into your team, don’t just look at their skills—look at their attitude and alignment with your vision. A strong fit will learn the skills faster than someone who’s not a match for your culture.
  4. Trust but verify
    Check in during the early days to ensure your standards are being met. Feedback loops are essential to build the best crew.
  5. Pass on perfectionism
    It’s okay if someone approaches a task differently than you would. What matters is the outcome - not the exact steps they take to get there.

One of my rockstar coach clients used to spend hours on admin tasks, leaving her drained and unable to focus on high-level strategy. After bringing me on as her OBM, we streamlined her systems, automated her client onboarding, and delegated daily admin to her VA.

The result? She launched her first evergreen program, doubled her revenue in six months, and finally had time for a holiday without checking her emails every five minutes.
